How to make a wedding seating plan
- Add each guest on a separate line. If two guests have the same name, add an initial so you can tell them apart.
- Add your tables and seat counts. Choose round or long tables. The starting numbers are examples; ask your venue how many each table seats.
- Give everyone a table. Use each guest’s menu or drag their name onto a table. The count at the top shows who is still waiting.
- Check and print. Print by table for your venue or caterer, or use the A–Z list at the entrance. The A–Z list sorts names exactly as you enter them.
A seating plan template you can change
Choose “Try an example” to start with three six-seat tables. Rename the tables, change the seats and replace the example guests with your own. Or start a new plan and build it around the tables at your venue.
A table plan tells guests which table to sit at. This tool doesn’t assign individual chairs. The layout is a sketch, not a measured floor plan. It doesn’t check room size, aisles, wheelchair access or escape routes. A table with more seats is not drawn larger.
Common questions
Is printing and downloading really free?
Yes. You can make, save and print your plan without paying or signing up. We also hire tents, which is why you’ll see links to our hire pages.
Can I use it for a party or work dinner?
Yes. Change the plan name and use the same guest and table controls.
What if I remove a table or reduce its seats?
Removing a table puts its guests back into the unseated list. Reducing seats keeps the guests where they are and flags any table over capacity. Undo restores your last change.
Can someone else edit the plan?
Download the plan file and send it to them. They can open it here and make changes to their copy. There’s no shared live editing, so agree who has the latest version.
Will my plan still be here tomorrow?
Choose “Save in this browser” before leaving, or download a plan file. Browser saves only work in the same browser on the same device and can disappear if you clear its data. A downloaded file gives you a separate copy.
